ERP Update - March 20, 2026
As we get closer to our changeover week (March 30–April 2), we want to remind you of a few key items in addition to the detailed information below:
- MyBooks will be unavailable from March 28 to April 2.
- This ERP change will streamline and automate processes so we can serve you better and build a foundation for future enhancements.
- We are working to minimize the impact to you during the transition. If you run into any issues, our Sales and Customer Service teams are here to help.
New terms for Friesens systems:
Case # – replaces “Job #”. It’s the number we assign to each book title. A title may have multiple Case #s when it has different versions.
- A Case # contains information for a specific title, including quotes and orders.
- This number will be referenced in reports.
- Example 1: If you have French and English versions, you will see two Case #s.
- Example 2: If you have a signed author edition, you will see two Case #s.
Order # – a new column on the MyBooks home screen.
- A single Case # may include multiple Order #s.
- Example: If we run a press test for a title, the Case # may include two orders—one for the main run and one for the press test.
Changes to MyBooks:
ISBN # – a new column on the MyBooks home screen.
Job Specification Approval – this second-level verification is no longer required. We will continue to use signed quote approvals or customer-supplied purchase orders for verification.
Signed Documents – we are replacing the Quotes area with a new folder called Signed Documents. Once the digital signature feature is available, you’ll be able to access your signed quote there, including a summary of your order details.
Status – one status is displayed for the entire Case #. We are developing the capability to report on separate components (e.g., text, case, endsheet, dust jacket). During the transition, information may be limited while we build a more robust option.
Proof corrections workflow – when uploading corrections at the proof stage, you will be asked to list the pages that changed. This helps streamline the workflow, reduce misunderstandings, and route corrections directly to our prepress team.
Generic upload folders – we have removed this tool to ensure files are uploaded to the correct title/Case # so they flow directly into our automated prepress workflow.
