After months of late nights, layout tweaks, caption debates, deadline juggling, and that final deep breath before clicking APPROVE, the email finally arrives: Your yearbooks have shipped.
Cue the relief. The excitement. And the sudden realization that while the hardest work is behind you… you’re not quite done yet.
That in‑between window after the books leaves the plant but before they land in your hands is a golden opportunity. Here’s how to use it wisely and set yourself up for a smooth (and celebratory) finish.
LET YOURSELF (AND YOUR TEAM) BREATHE
First things first: acknowledge the win!
Your students stuck with it. You guided them through every challenge. Take a moment to celebrate before diving into the next checklist.
- Share the “Books have shipped!” news with your team
- Bring in donuts or snacks for a low‑key celebration
- Let students reflect on what they’re proud of
A short mental reset now helps everyone avoid burnout at the finish line.

PREP FOR DELIVERY LIKE A PRO
While the books are in transit, use the time to make delivery day easier for future you.
- Notify your admin or front office that books are on the way
- Identify where boxes will be delivered and stored
- Clear space so boxes aren’t stacked in hallways or classrooms
- Recruit a small student crew to help move boxes (And don’t forget to snap photos for our Distribution Day contest!)
A little planning now prevents a lot of scrambling later – especially when the courier shows up in the middle of third period.
GET ORGANIZED FOR DISTRIBUTION DAY
Distribution Day doesn’t have to be chaotic. Prep now, breathe later.
- Print or finalize alphabetical buyer lists
- Decide how tables will be organized (A–D, E–H, etc.)
- Gather supplies: pens, tape, signage, bins, clipboards
- Assign student roles (check‑in, runners, troubleshooters)

COMMUNICATE WITH YOUR SCHOOL COMMUNITY
This is the perfect window to set expectations and build excitement.
Consider sending:
- A quick update letting families know books are on the way
- A “Distribution Day Coming Soon” teaser
- A reminder about unpaid balances or unclaimed books
Clear communication now means fewer questions later.
START THINKING ABOUT NEXT YEAR (JUST A LITTLE)
You don’t need to dive into full planning mode yet, but this is a great time to capture fresh insights while the experience is still top of mind. Jot down:
- What worked really well this year
- What caused the most stress
- What you’d like to do differently next year
- Start recruiting for next year’s team
- Identify students who showed leadership potential and might step into editor roles
- Note any equipment, software, or training you’ll need for next year
- Capture theme ideas or design inspiration while your creative brain is still warm
- Make a quick list of vendors, contacts, or processes you want to keep…or change
- Reflect on your own workload and what you want to streamline
