Now that you know who we are, let’s take a quick tour through Customer Service and see how our CSR system works.
Upon placing a book order with us, our planners order all the materials required to complete your job, such as text and cover stock, endsheet paper, board material, foil stamping dies, cartons, etc. In many cases, this is done well in advance of the job arriving at the plant.
Next, your work arrives at our plant. The text and pictures may be in the form of disks or film, and at times ... still arrives as camera ready copy. This is when our CSR professionals and job planners really go to work! We first take the time to go through all of the materials you sent to ensure that everything needed to produce the project has arrived. This includes all text copy, all scanning materials (pictures, slides or original art), and any other special instructions that accompany the job.
Each piece of material is carefully documented on an original materials routing slip (OMR) so we can keep track of everything we receive from you.
Each piece of art to be scanned is sized according to the layout supplied. A scanning requisition form is generated to allow the pre-press department to scan each image properly.
A job docket is made up at this time as well. This docket travels with the job through every department and serves as the blueprint for the entire job. The docket contains all of the information on the project, as well as any special production instructions. After all the job information has been transferred to the docket, and after all material has been inspected and accounted for, the job moves out of Customer Service.
As you can see, Customer Service is much more than simply accepting customer material and ordering stock. Your Friesens CSR acts as your liaison and represents you to all of the production departments within the plant. Friesens holds weekly production meetings on Tuesdays and Thursdays, at which time every job is discussed and questions or concerns are addressed. At any one time there are 500 - 600 projects in our plant at different stages of production.
Your Friesens CSR is also your own personal contact. You should feel free to contact the CSR department at any time for updates on the progress on your job, or to make any changes.
Finally, the CSR should be contacted for price quotations or clarifications. If you want us to ship your books to special destinations, our CSRs will happily take care of this for you.
In short, the job of the Customer Service Representative at Friesens is to make your book project run as problem-free as possible.
